Most personal trainers start by booking sessions through messages and a paper or phone diary. It works until the diary and the messages disagree. Scheduling software fixes that, but the products vary a lot, from a simple booking app to a full gym-management suite.
What to look for
- Genuine live availability. Clients should only be offered times you can actually do, based on your working hours, existing sessions, holidays and the gap you need between clients.
- Your own working hours and time off. Split shifts, holidays and blocked time should take effect straight away, with no clean-up afterwards.
- Booking rules that fit you. Notice periods, how far ahead clients can book and cancellation rules should be settings, not conversations.
- A diary that works on a phone. You are rarely at a desk between sessions. A simple agenda for the day matters more than a dashboard.
- Your branding, not someone else’s. Clients should feel they are booking with you, with your name, logo and colours.
- Room to grow. Payments, packages and group classes are useful later, but you should not have to pay for or learn them before you need them.
Booking app or gym-management suite?
If you run a club with memberships, access control and classes, a large suite may be right. If you are an independent trainer, a small team or a studio that mainly needs clients to book sessions, a focused booking app is usually simpler to run and cheaper to keep.
Questions to ask a supplier
Ask where your clients’ data is stored, whether your business has its own environment, how changes are made, and what happens if you leave. Our PT Booking App is built for this case: a white-label booking platform, set up with your branding, trainers and booking rules.
