What we collect when you visit this site or contact us, why, and what you can ask us to do with it.
Who we are
Trunkfield Software is a software house based in Lichfield, Staffordshire. We are the controller of the personal data described in this policy, which means we decide how and why it is used.

What this policy covers
This policy covers this website, trunkfield.co.uk, and what happens when you contact us.
It does not cover our products. Each product has its own privacy notice. When an organisation uses one of our products to manage its own staff, candidates or clients, that organisation is usually the controller and we process the data on its behalf. Its privacy notice applies.
What we collect
We collect very little.
- When you email us: your name, email address, the content of your message and anything you choose to include, such as your organisation or phone number.
- When you visit the site: our hosting provider records standard technical information in server logs, such as your IP address, browser type, the pages requested and the time of the request.
- When pages load fonts: your browser requests typefaces from Fontshare and Google Fonts. Those services receive your IP address and browser details in order to send the font files.
We do not use advertising or tracking tools, and we do not sell or rent personal data. We only use analytics if you accept it in the cookie banner. Our cookie policy explains this.
Why we use it, and our lawful basis
- To reply to your enquiry and, if you become a client, to discuss and agree work with you. Lawful basis: our legitimate interest in responding to people who contact us, or taking steps at your request before entering into a contract.
- To keep the site secure and working. Lawful basis: our legitimate interest in running a reliable, secure website.
- To count visits with analytics, only if you accept it in the cookie banner. Lawful basis: consent, which you can withdraw at any time.
- To meet legal obligations, such as keeping business and tax records if you become a client. Lawful basis: legal obligation.
International transfers
Some of our providers may process data outside the UK. Where they do, we rely on UK adequacy regulations or on safeguards such as the International Data Transfer Agreement or the UK Addendum to the EU standard contractual clauses.
How long we keep it
- Enquiries that don't lead to work: up to two years after our last contact, then deleted.
- Client correspondence and records: six years after the work ends, to meet tax and legal requirements.
- Server logs: for the period set by our hosting provider, normally no more than 30 days.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal data we hold about you
- ask us to correct data that is wrong or incomplete
- ask us to delete your data
- ask us to restrict how we use it, or object to our using it
- ask for your data in a portable format

Complaints
If you are unhappy with how we have handled your data, please tell us first so we can put it right.

Changes to this policy
If we change how we use personal data, we will update this page and the date at the top.
